October 2021 Meeting - Minutes

Minutes:

Welcome & Meeting called to order by Claire at 8:05

Approval of Agenda: Motioned by Claire, seconded by Amanda, all in favour

Approval of September Minutes: Approved Via Email by All


  1. Open Issues:

    1. Family Fun Day & BBQ Donor/Sponsor thank-yous - Claire is still working on sending thank you’s by email and in person

    2. Halloween Pumpkin Walk - Oct 30th (weather dependant). 20 pumpkins being purchased for $75 total. 15 families have signed up to carve a pumpkin for the walk. Pumpkins to be at the beach for 5:30 for set up. The walk will run 6 pm - 7 pm and pumpkins can be picked up at 7:30-8 pm. Treat bags will be available for participating children

    3. County of Simcoe garbage collection issue - Rick reached out to the township to ask why we no longer receive garbage collection at the beach. He was informed that the Township does not have information about garbage collection or whether our property taxes include garbage removal. He was also told that the County of Simcoe handles all garbage removals. The township tried calling the county on our behalf and asked that they call Rick. Rick has not heard back from the Country as of yet. We will need to follow up with the County further about beach removal.

    4. Little Library Box installation - Claire has looked at it with BPRA member Steve who thinks it will be easy to install on one of the existing posts. More to come.

    5. Shed improvements (ventilation, storage, electrical, weatherproofing) - Amanda is going back and forth with the township about the possibility of adding electrical to the shed. Issues include that there is no fixed dwelling on the property. If there is a way to add the electrical, it will likely be a heavy cost that the BPRA will have to incur. Claire will look into ventilation, storage and weatherproofing in the spring. Rick will look into an option for a spout extender to assist with the downspout.


2. Executive Report: Claire has been working closely with Amanda to give direction on the Communication group roles and responsibilities. Claire will be filling out new provincial forms for incorporated groups to include the new BPRA members


3. Communications Report: October newsletter was emailed out and copies have been printed. Another pumpkin promotion will go out again next week. Amanda is putting together communication pieces to promote the Holiday Market. A lot of vendor applications have come through the info email. A new BPRA member has joined the group to assist with delivering newsletters.


4. Financial Report: As of today we have $8, 780.30 in the bank. All BBQ expenses have been paid so debits are back to regular property expenses. New incoming money includes the vendor fee of $20 for the Christmas Market.


5. New Business

  1. Holiday Craft Sale - Date: Sunday, November 14th from 10 am - 2 pm. This was an idea proposed by the events team. There are currently 14 vendors with more coming. Vendors bring their own table and set up. BPRA will supply hot drinks from Tim Hortons, provide a bonfire and music. Open to the public and will be promoted in our neighbourhood, the Westshore community, Severn Shores and Rama groups as well. Hope Community Church will have a free table at the event to talk about their community garden.

  2. Home for the Holidays: Festive Lights Contest - friendly house decorating contest
